Digitally signing documents in Lia+

Below you will find answers to the 20 most frequently asked questions regarding digitally signing documents in Lia+.

Is digital signing available to all customers?

No, this functionality is exclusive to Lia+ customers. Sharing documents via Lia is also only possible for Lia+ customers.
 

From when is this functionality available?

From November 2025 you can digitally share and sign documents in Lia+.
 

How do I start a digital signing flow?

Go to My Liantis → "My employees" → upload a document (PDF) → choose Start digital signing flow.
 

Which file formats are supported?

Only PDF files can be formally digitally signed. Word documents can be saved as PDF files using Save as.
 

What options do I have when sharing a document?

  • Formal digital signature via Quill (eID or itsme®)
  • Request approval without formal signature
  • Share document for information purposes
     

What is the difference between signing and giving approval?

  • Digital signature = legally binding, ideal for contracts.
  • Approval = confirmation that the document has been read and accepted, without a legal signature.
     

How does signing via Quill work?

The employer chooses the position of the signature in the document. The employee signs via Quill with eID or itsme®.
 

Can I share documents in bulk with employees?

Yes, including the option for approval or digital signing flow. Note: for formal signing, the document must first be signed by the employer and then uploaded.
 

Can the employer also sign in bulk sending?

No, Quill does not support a scenario where one document is signed by the employer and then automatically shared. This must be done manually before uploading.
 

Can an HR manager upload a document that must first be signed by the employer?

Yes, you can choose which administrator signs on behalf of the employer. They will receive an email invitation.
 

How do I know if an employee has signed?

You will receive an email notification as soon as an employee signs or gives approval. You will also be notified if they refuse.
 

Why didn’t the employee receive the document for signing?

When both parties (employer and employee) are selected to sign, the employer must sign first. Only after this is the file shared (made visible) with the employee for signing.
If the employee did not receive the document for signing, this probably did not happen correctly and the document status shows ‘To be signed by employer’. That is why the employee could not receive it.

The employer must first sign the document. It can be found in the employee’s documents → Employees → select employee → documents.

Can an employee refuse to sign?

Yes, Quill offers the option to refuse. The employer always receives a notification.
 

Why don’t I see the employer’s signature in the document preview?

The signature is temporarily stored by Quill. Once both parties have signed, the document with both signatures appears in Lia and My Liantis.
 

Can I withdraw or resend a document?

Yes, as long as the document has not yet been signed. After signing, this is no longer possible.
 

Is digital signing legally valid?

Yes, Quill complies with European regulations for qualified electronic signatures.
 

Which signature methods does Quill support?

Quill supports eID and itsme®.
 

Is the signed document automatically archived?

Yes, the document is saved in Lia and is available to both employer and employee.
 

Can I track the status of a document?

Yes, in Lia and My Liantis you can see who has signed, who has refused, and who still needs to take action.
 

What if I made a mistake in the document?

You can withdraw the document and upload a new version, as long as it has not yet been signed.
 

Are there extra costs associated with this functionality?

No, digital signing is included in Lia+.

 

Can flex workers and students sign documents?

Yes, flex workers and students can sign documents if they are in the employee list. However, they cannot use it before they start employment. They cannot sign their contract before starting but can do so on the actual day once they have activated Lia and completed onboarding.
 

 

Can a contract be signed by an external employee / Freelancer?

No, INSZ is required for this and we are not allowed to request this when creating an external employee.
