Get started with My Liantis Employee Self Service

Welcome to the My Liantis Employee Self Service. Get started now!

Log in to My Liantis via https://www.myliantis.be. You can find all applications under the menu 'Medewerkers'.

1 Build your teams (optional)

Go to the ‘Teams’ tile. Click on the 'Team toevoegen' button to create a new team. The team composition will also be visible in the calendar.

Forming teams is an optional step. If there are no teams, there is one team calendar, which is visible to all employees. All absence requests are handled by the administrator(s).

By forming teams, the requests of the team members end up with their supervisor. In the team calendars of the teams, only the employees and supervisor from the team are visible.

2 Add external employees (optional)

Do you want to give external employees, who are not on your payroll, access to My Liantis Employee Self Service?

Go to 'Mijn medewerkers' and add an external employee via 'Medewerker toevoegen'.

After adding, you will find the employee in the overview of your employees.

Select the employee from this employee overview. Then go to the 'Tewerkstelling' tab to add a schedule for the external employee.

As soon as you add a work schedule for the external employee, this employee will also be visible in the Calendar application.

3 Calendar

Go to the tile ‘Kalender’ and then ‘Instellingen’.

General

Under the ‘Instellingen – Algemeen’, you can set which parts of the day your employees can register absences: full days, hours and/or half days.

Absences

The approval of the applications is on by default. If the approval is disabled, all applications are automatically approved and the manager receives an informative e-mail notification.

Set the absence types for your employees on the ‘Afwezigheden’ tab. A default set is checked. You can also check additional types or uncheck types that are not relevant to your organization.

Types checked in the column 'verlof' colors blue in the (team) calendar and types checked as 'overige' colors green.

Illness

On the ‘ziekte’ tab you can activate the possibility to have the employee register illness and / or work accident via the tool. You can also adjust the approval flow for illness here. This does not affect the approval flow of other requests. In the (team calendar) 'ziekte' turns red.

Work from home

On the ‘Thuiswerk’ tab, you can activate the option to let your employees register their work from home via the tool. You can also customize the work-from-home approval flow here. This does not affect the approval flow of the other requests.

  • Working from home is visualized in orange in the 'Kalender', so that the distinction with the absences is clear.
  • Registrations for work from home follow the same approval flow as absences or you can choose not to ask for approval.

Extra hours

Do you want the employees to register their additional and minus hours via the tool? Activate this option on the 'Extra uren' tab.

  • Flex hour registrations follow the same approval flow as absences.
  • Performed additional hours can be added on the flex hours page.
  • Recuperation of flex hours takes place in the same way as other absences.
  • Flex hours are only tracked in the Calendar application and do not flow through to the wage calculation.
  • Recuperation of flex hours is visualized in purple in the Calendar, so that the distinction with absences is clear

Here you can also adjust the approval flow for flex hours, without affecting the approval flow of the other requests.

4 Expenses

As an administrator, you cannot currently register expenses for your employees yourself. Do you want your employees to register their expenses via the tool? Invite your employees and they can get started right away (see point 6).

Your employees can register 7 expense types and optionally add a supporting document and/or description:

  • Mileage allowance
  • Parking
  • Restaurant
  • Hotel
  • Commission
  • Public transport
  • Miscellaneous expenses

After approval of the expense report, they will automatically flow through and are paid with the next wage calculation.

5 Payrolls

Your employees can consult their payrolls via the tool. Invite your employees and they can get started right away (see point 6).

6 Invite your employees to My Liantis Employee Self Service

On the home page of My Liantis you will find ‘Toegang beheren’ in the left navigation.

You can invite your employees to one or more applications in one move. Employees who do not yet have an account on My Liantis will receive an invitation email. The other employees have immediate access to the chosen applications.
